Document Control Analyst (Intermediate)
Procom is seeking a Document Control Analyst (Intermediate) on behalf of our Oil & Gas client for a 12-month contract opportunity in Houston, TX. This is a hybrid position requiring three days per week onsite.
Position Overview
The Document Control Analyst will provide document management support to the project team, with a primary focus on administering the project SharePoint site and ensuring project documentation is properly organized, maintained, and controlled through project closeout. This role plays a key part in supporting information management processes and maintaining the integrity of project records.
Key Responsibilities
- Develop, maintain, and execute the Information Management Plan
- Partner with the U.S. SharePoint Administrator to develop project-specific SharePoint sites
- Review and revise Contractor Document Control Requirements
- Create and maintain transmittal logs, distribution matrices, and master document registers
- Manage the setup, monitoring, and coordination of field document processes
- Establish document repositories, metadata, and access permissions
- Track document submissions, revisions, approvals, and distributions
- Manage sensitive and restricted information
- Distribute documentation in accordance with established distribution requirements
- Monitor information deliverables using the master document register
- Ensure records are filed in accordance with document control and records management requirements
- Track receipt of records and provide status updates to management
- Resolve documentation discrepancies with Project Managers, Engineers, Field Clerks, and Contractors
- Partner with the Retention Specialist on hardcopy records preparation
- Support the Project Turnover Memorandum process
- Remove electronic transitory information where applicable
- Manage documentation associated with project closeout activities
- Maintain records within project deliverable tracking tools
Required Qualifications
- Strong document management skills
- Proficiency with SharePoint administration
- Excellent communication skills
- Ability to manage sensitive information
- Strong problem-solving abilities
- Experience with document control processes
- Ability to work effectively within a team environment
Preferred Qualifications
- Experience in the Oil & Gas industry
- Familiarity with project management tools
- Knowledge of information management policies
- Experience supporting regulatory document control requirements
- Familiarity with document tracking software
